Outreach desk terms
Effective 10 October 2026
These terms are an agreement between your organisation and Shivankit TechSolutions (OPC) Private Limited ("Shivankit TechSolutions", "we"). They add to the dviilo Terms (https://dviilo.com/legal/terms) and the Privacy Policy (https://dviilo.com/legal/privacy) for an organisation that uses the outreach desk. Everything in the dviilo Terms applies to the outreach desk too, including their limits on liability and the governing law. Where these terms and the dviilo Terms say different things about the outreach desk, these terms apply.
An owner of your organisation accepts these terms for the organisation. They apply to everyone in your organisation who uses the outreach desk.
If your organisation is established in the European Union or the United Kingdom, or you want to use the desk to contact people there, you may not use it until we have agreed data-processing terms with you in writing. Write to the dviilo Support Team at hello@shivankit.com.
1. What the outreach desk does
- It researches businesses from the lists you give it and from those businesses' public web pages.
- It drafts emails to them for you to read.
- It never sends anything. A named person in your organisation reads each draft and approves, edits or rejects it. You send approved emails yourself, from your own mailbox, and you are the sender.
- Every email the desk gives you to send ends with a stop link. A person who uses it is added to your do-not-contact list at once.
- It can show its queue and its drafts to your organisation's assistant when an owner or admin asks, if you switch that on for the assistant.
2. What you agree to do
Section 3 of the dviilo Terms still applies. The desk does not send anything, and you may not have dviilo send these emails for you, through your assistant or any other way.
- Business contacts only. Use the desk to contact businesses and people in their business role. Do not add a personal address unless you record why you may contact that person.
- A lawful reason for each contact. You are responsible for having a lawful reason to contact each person, under the laws that apply to you and to them.
- Tell the truth about who you are. Every email you send says who it is from and gives a working way to stop further emails.
- Honour "stop". When someone asks not to be contacted, record it in the desk's do-not-contact list without delay and do not contact them again.
- Lists you may use. Do not upload a list you have no right to use.
- Nothing harmful. No deception, no harassment, nothing unlawful. Do not use the desk to target people because of their health, religion, caste, politics, sexual life, or because they are children.
- Read before you send. Drafts can contain mistakes. The person who approves a draft is responsible for what it says.
3. Limits
- The desk counts the emails you record as sent and stops at daily numbers. You set them, up to a maximum for each mailbox that we set and may change.
- The research and drafting are done by an AI model. We set a monthly budget for your organisation and may change it. When it is used up, the desk stops researching and drafting.
- We may switch your desk off if these terms are broken.
4. What happens to the data
- What the desk holds: your lists, the businesses and contacts in them, research notes with the page each fact came from, drafts, who approved what, and your do-not-contact list. We do not show it to any other organisation.
- Where it goes: to research and draft, the desk sends business names, websites, business email addresses, research notes and the facts you gave it about your own offer to a language model provider (see "Who else processes the data" in the Privacy Policy). If you switch the desk's tools on for an assistant, what the assistant reads from the desk is sent to the model that assistant runs on.
- What we do with it for our models: we do not use the desk's own records (your lists, research and drafts) to improve our models. A conversation with your assistant is treated like any other, including one in which it reads from the desk: unless your organisation has turned model improvement off, what is said in it may be used, as section 4 of the Privacy Policy describes.
- Public pages only: the desk reads only pages that are public, follows each site's robots.txt, and does not test whether an email address exists by connecting to mail servers.
- Whose data it is: your organisation is the Data Fiduciary for the people in its lists. We process their data on its behalf, on its instructions, to provide the desk. The one exception is a conversation used to improve our models, which we do for ourselves, as the Privacy Policy says.
- A request from a person in your lists: if a person in your lists asks us to stop or to remove their data, we may add them to your do-not-contact list or delete them.
- Deleting it: to have your desk's data deleted, write to the dviilo Support Team at hello@shivankit.com.
5. If something goes wrong
If you learn that the desk was used against these terms, or that someone outside your organisation had access to it, write to the dviilo Support Team at hello@shivankit.com.
If we learn that someone had access to your desk's data without authority, we will tell your organisation as the law in force requires.
6. Changes
If these terms change, the desk asks an owner of your organisation to accept the new version before it can be used again. Your data stays as it is while you decide.
